Helpful Instructions for Planning an Event
READ your contract & helpful instructions and familiarize yourself with the requirements so there is no misunderstanding of your obligations.
Be sure to share the helpful instructions with everyone involved with your event. This will help eliminate additional fees if you inform everyone. The Helpful Instructions provide details on how to care for our equipment and allow us to deliver and pick up EFFICIENTLY. There will be additional fees if you do not follow our instructions!

- We will contact you the Friday or Monday prior to your event for our delivery schedule. We do our best to accommodate customer’s schedules for delivery and pick up. We will not commit to delivering or picking up on a specific day UNLESS you pay the specific delivery day/time fee. Please remember weather plays a big role in our scheduling and our contract states we delivery & pick up at OUR convenience.
- TENTS: Mark your calendar a week prior to your event to contact Indiana Underground. Our contract states YOU agree and YOU are responsible to have site location cleared by Indiana Underground. Indiana Underground requires a MINIMUM of 48 HOUR NOTICE. There will be a $75.00 Fee if we have to revise our delivery/pick up schedule to accommodate your schedule OR due to you not having site location cleared in time for our delivery schedule.
- Schedule your lawn mowing to be completed before the tent arrives.
- Access to site location must be clear for our truck and 24 foot trailer. The site location must be ready upon our arrival. If our crew is delayed in unloading/setting up/tearing down/loading, there will be an additional charge. We must be able to unload/load AT or WITHIN a few feet to site location. If we have to dolly equipment more than a few feet there will be an additional fee. We will NOT drive our truck and/or trailer off a driveway onto grass, down a ravine or a hill more than a 10 degree angle. The site location must be free and clear for us to maneuver our truck and trailer EASILY. We offer site inspections if you have any concerns on your site location.
- Please inspect each chair when you are folding for pick up. IF excessive dirt, spills from food and/or drink, etc. please wipe chairs down. This will prevent a cleaning fee charged to you. Make sure all chairs are stacked neatly and all laying same direction. Please place chair stacks on the ground. This allows us to pick up easily with dolly. There will be a charge if chairs are not stacked properly.
- If the ground is wet when you need to stack your tables & chairs, please lay a tarp down or place stacks on dry area such as concrete, in garage, etc. Please do not leave equipment (chairs, tables, side walls) out in the open unprotected from the weather. Please place all equipment after event under tent, in a building or cover with a tarp. This will prevent a cleaning fee charged to you.
- Fold tables and stack tabletop to tabletop. This helps prevent scratching and damage. Do NOT lean tables or any other equipment against center or side poles of tent. This could cause the tent to collapse! If the event is under a tent, please place all tables on the ground.
- Regular sidewalls will be delivered in stacks. The clips on the sidewalls attach to the jump rope of the tent. Wedding Royalty & Cathedral Window sidewalls will be hung by our crew. You may fold sidewalls back if you want the tent “open” but please DO NOT remove Wedding Royalty or Cathedral Window sidewalls from the tent. There will be an additional fee if removed.
- If you have used tape, zip ties, fishing line or any type of decorations, please have all removed BEFORE pick up. An additional fee will be charged if our crew has to remove. DO NOT use staples on our tables!
- The ropes and stakes will go SIX FEET out from the tent size you reserved. Do NOT expect a tent to be set up right next to a building. If you will not be at delivery, please clearly mark your tent location for set up. We prefer the four corners of the tent location to be marked with spray paint or flags to be clear on set up.
- If you have pets, please make sure they are confined during set up AND tear down. Have the area to the site and site location cleared of any pet waste BEFORE our crew arrives for set up AND pick up.
- If you have ordered lights, please make sure you have separate breakers for the lights. We suggest you have a power source close to event site. We are not responsible for electricity. We do have a generator available to rent if needed.
- If your event is at a venue, please confirm venue policy on delivery and pick up of equipment. We will charge an additional fee if venue policy requires a specific day and specific time for delivery and/or pick up. Again, our contract states we deliver and pick up at OUR convenience.
- If you have ordered linens from Us, the linens will arrive on hangers pressed and ready for placement. Return the linens and hangers in the container we provide for you. The linens must be folded neatly. Please DO NOT leave linens outside overnight. The linens will absorb the dew and mildew if left outside overnight. If you should have a linen wet from a spill, please hang up to dry before placing in container. You cannot place wet linen in the basket. The wet linen will cause all of the linens to mold. There will be a cleaning fee or replacement fee if linens are returned with mildew. There is an additional fee for linens not folded, hangers and/or container not returned.
- IF you have rented a dance floor from Us, our crew will set it up to your designated location. We will need to be notified of your request if you decide you want to change the location of the dance floor after set up. There will be an additional charge for the move of the dance floor by Us. The customer is not permitted to move or alter the dance floor in any way. Do NOT set tables and chairs or any other equipment on our dance floor. Dance floor must be in a venue, under a tent or placed under shelter. Our dance floor is not permitted to be outside uncovered.
- NO GRILLS, SMOKERS, SNOW CONE OR COTTON CANDY MACHINES under our tent. There will be an additional cleaning fee if items are used under our tent. We need to know in advance if you plan on using a grill, smoker, snow cone or cotton candy machines under our tent.
- Tents will NOT be set up close to fire pits or bonfires.
